Is offline AI private? What stays on your laptop
Offline AI is much more private than online chatbots, because your questions and files are processed on your own laptop instead of being sent to a company's servers. But offline is not automatically private. Most apps still go online sometimes, to download the model, check for updates or check a licence, and some send usage analytics. Check the privacy policy, test the app with Wi-Fi off, and look for a log of every connection it makes.
When you type into a cloud chatbot, your words, and any file you attach, travel to the provider's servers to be processed. Offline AI flips that around: the model runs on your laptop, so your text and files do not need to go anywhere. That is a big privacy win. It is not the whole story, though, so here is what offline really covers.
What stays on your laptop
With a genuinely offline AI app, these never need to leave your computer:
- Your questions and the AI's answers.
- The documents it reads, and the search index it builds to find things in them.
- Drafts it writes for you.
- Your chat history, if the app keeps one.
You can prove the main point yourself: turn off Wi-Fi and use it. If it still answers, the AI is running on your laptop.
What can still go online
Most offline AI apps connect to the internet now and then. The common reasons are:
- Downloading the model. Usually once, at setup, often from Hugging Face, the main public library of open models.
- Updates. Checking for and downloading new versions of the app.
- Licence checks. Confirming you have paid.
- Analytics and crash reports. Some apps send usage statistics or error reports. These can include more than you expect.
None of these need your files or questions. The thing to check is what each connection actually sends.
Offline vs cloud AI at a glance
| Offline AI app | Cloud chatbot | |
|---|---|---|
| Your questions | Processed on your laptop | Sent to the provider |
| Files you ask about | Read on your laptop | Uploaded to the provider |
| Chat history | On your laptop, if kept | Usually on the provider's servers |
| Used to train models | No route for it to happen | Depends on the provider and your settings |
| Connections | Downloads, updates, perhaps a licence check | Every message |
How to check an app yourself
- Test it offline. Turn off Wi-Fi and ask something about a file. It should work.
- Read the privacy policy. Look for a list of every connection and what each one sends. Vague phrases such as "we may collect usage data" are a warning sign.
- Look for analytics. "No analytics, no telemetry, no crash reporting" is what you want to see.
- Look for a connection log. The best apps show you every connection they have made.
- Look for an off switch. Can you block all connections, including update checks?
Your laptop still matters
Offline AI keeps your data on your laptop, so the laptop's own security matters more. Use a strong password, turn on disk encryption (FileVault on a Mac, BitLocker or Device Encryption on Windows), and keep the system up to date. If your work has rules about client data, offline AI usually makes them easier to follow, but check with whoever sets them.
How WorkOffline handles this
WorkOffline goes online for three things only: activating your ticket, checking for and downloading updates, and downloading model files from our own organisation on Hugging Face. Update checks send just your ticket ID, a device key and the app version. There are no analytics, no crash reporting and no tracking. The Network activity page lists every connection the app has made, and the Offline lock switch blocks all of them, including update checks. Your search index and saved chats are encrypted on your laptop, and files are read by a separate helper program with no network code. The full list is in our privacy policy.
Every ticket includes chat with your files, writing help and compress for email, from one flat white. See tickets and prices.
Frequently asked questions
Is it safe to put client documents into offline AI?
Much safer than uploading them to a cloud chatbot, because the documents never leave your laptop for the AI to read them. Check your own firm's rules too, and keep the laptop itself secure with a password and disk encryption.
Does offline AI send my data anywhere?
The AI part does not need to. The app may still connect for downloads, updates or licence checks. A good app tells you exactly what each connection sends and lets you block them.
Can the model itself leak my data?
A model file is just data that the app reads. It cannot open a network connection on its own. What matters is what the app around it does, so check the app.
Does Hugging Face see what I ask?
No. If an app downloads a model from Hugging Face, Hugging Face sees the download request, like any website, but your questions and files are never sent there.
Are my chats saved?
That depends on the app. Look for whether chat history is stored, whether it is encrypted, and whether you can delete it.
